From the Teams Who Use It

Ops Manager · Tanjong Pagar

"We had twelve different NDA templates floating around the company — no one was sure which was the latest. After the setup engagement, there is one canonical template, one place to find it, and a naming convention the whole team follows. That alone saved us from at least three awkward conversations with suppliers."

"The template library is genuinely well organised — I was expecting a generic dump of files but each one has a proper note explaining when you'd actually use it. The quarterly changelog is a nice touch. My main wish is for more templates specific to the F&B supplier side, but we've flagged that and they said it's on the Q3 refresh list."

HR Lead · Buona Vista

"Our HR documentation was genuinely embarrassing — some of it dated from the founding team's first week and had never been updated. The annual programme gave us a proper HR file set within the first quarter and we now onboard new people with actual written materials. The advisor relationship makes a real difference; they know our setup and we do not have to re-explain context at every check-in."

Reuben Bastian

COO · Orchard Road area

"We were scaling quickly and the documentation was not keeping up. The workflow setup took about three and a half weeks and by the end of it we had a proper operating manual, a file structure that worked in our existing SharePoint, and the team actually understood how to use it. Straightforward process, no unnecessary complexity."

Admin Director · Tampines

"We started with the subscription, used it for about eight months, then upgraded to the annual programme when it became clear we needed more structure. The transition was handled well — the advisor already knew our business from the catalogue usage history and we did not have to start from scratch with the discovery process."

Procurement Lead · Bishan

"Procurement correspondence was the biggest mess for us. We had quote request formats from four different people that all said something slightly different. The templates in the Lexigon library are clearly written and the clause variant notes are particularly useful — our team now knows which sections to adjust for different supplier types without needing to ask me every time."

How the Work Played Out

Professional Services Firm · 22 employees · Annual Programme

From Ad Hoc to Systemised in One Quarter

Challenge

A consulting firm with 22 staff had no standardised document approach across its three practice teams. Each team had its own template variants for client correspondence and internal records. When a senior manager left, a significant amount of institutional knowledge about which documents to use went with her.

Solution

We began with a discovery session mapping all three practice teams' document inventories. Over four weeks we consolidated 47 duplicate or near-duplicate files down to 19 canonical templates, configured a folder structure inside their existing Google Drive and delivered a brief operating manual for each team lead.

Results

By the end of Q1 the firm had a single source of truth for all operational documents. New staff onboarding time for document orientation dropped from roughly four hours to under forty minutes. At the Q2 check-in the COO reported that the "which version is current" question had effectively stopped being asked.

"Four hours of orientation down to forty minutes is probably the most concrete thing I can point to. The advisor remembered every detail from Q1 and the Q2 session felt like a continuation, not a restart."

F&B Group · 8 outlets · Template Library Subscription

Consistent Supplier Correspondence Across Eight Sites

Challenge

An F&B group with eight outlets was managing supplier correspondence informally — each outlet manager was writing their own letters. When disputes arose over delivery terms, there was no consistent written record across sites.

Solution

The operations director subscribed to the template library and identified six procurement templates that covered 90% of their regular supplier contact types. After downloading and lightly adapting the cover sheets for the group's brand, they distributed a simple one-page guide to outlet managers on which template to use for which scenario.

Results

Within six weeks all eight outlets were using the same supplier correspondence format. The operational note on the supplier dispute template specifically helped the team understand what to document when a delivery did not meet agreed terms — a gap that had caused friction in three incidents the previous year.

"The note on the supplier dispute template was the bit that surprised me most. It is not just a form — it actually explains what you need to capture and why. That is worth more than the template itself."

Tech Startup · 18 staff · Workflow Setup + Library

HR Documentation Built Before a Funding Round

Challenge

A pre-Series A tech company had eighteen employees but almost no written HR documentation beyond offer letters. With a funding round anticipated, the founders needed to demonstrate operational maturity — including proper employment policies, expense procedures and equipment use documentation.

Solution

We ran the workflow setup engagement with a focused HR brief — building the company's HR document set from the Lexigon catalogue templates, adapting the policy structures for their remote-first team and setting up a clean Notion-based file structure with version date tracking.

Results

The company entered due diligence with a complete written HR policy set across eight policy areas. The founder reported that investor due diligence on people practices took roughly one hour to clear — a process that had previously taken three days because documents had to be written under pressure during the data room stage.

"Due diligence on HR cleared in about an hour. Previously it took most of three days because we were writing policies in the data room. Not something I want to repeat."
